Shipping Clerk


Assist the Documentation Officer in the issuance of export documentation in line with customer /country specific requirements and UCP-600 Banking practices.

Key Accountabilities

  • Export pre and post shipment documentation.
  • Responsible to manage all pre shipment related documentation and ensures accuracy and compliance to meet the company standards.

 Pre-Shipment :

  • Ensure for the timely imparting and verification of carrier’s shipping instructions.
  • Ensure for the timely imparting of internal and external pre-advices.
  • Documentation priority timeline generation.
  • Drafting and issuance of export documentation in line with customer/country specific requirements and UCP-600 banking practices.
  • Accurate and efficient posting of invoices in line with vessel departures and end of month periods.
  • Vetting Letters of Credit, value balances, plus relevant amendments prior to shipment commencement.
  • Effective tracking of related documents and ability to guide third parties with the relevant priorities, and to proactively highlight any delays. 
  • Issuance and distribution of authorised Debit and Credit notes.
  • To show a heightened sense of urgency in ratifying documentation discrepancies in order to avoid documentation delivery delays.
  • Accurate processing of ERP data and liaise with the respective warehouse/sales coordinator with the necessary shipment specific amendment requirements.
  • Preparation of ECTN and inspection supporting documents as indicated on checklist. 

Post-Shipment :

  • Ensure that all related documentation has been completed and dispatched in a timely and accurate manner within stipulated deadlines.
  • Releasing and dispatch of documents in accordance with applicable payment terms.
  • Ensure that all relative documentation is kept in its respective file.
  • Accurately maintain the e-archiving system as per department requirements.
  • Ensure that all relative documentation is kept in its respective file.
  • Be proactive in highlighting deviations, mitigating discrepancies and in solving one’s own mistakes.
  • Timely creation of freight purchase orders.
  • Assisting the shipping operations function as may be deemed necessary.

Ideal Candidate Profile

  • A Level Standard and relevant experience in the following areas:       
    • LC processes
    • Physical Logistics (DC-Operations)
    • Shipping Processes
    • Trade Terms
    • Customer Service


  • Bachelor degree preferably in Commercial
